01Who we are and the roles involved
The 1Socio Guard app is published by 1Socio Technologies Private Limited ("1Socio", "we", "us"), Office No. 126-129, 1st Floor, Meridian Business Center, Near Lazamni Chowk, Mota Varachha, Surat (Gujarat) - 394101, India.
You use this app because the society, or the security agency deployed at that society, has issued you an account. The society owns the gate records you create. 1Socio stores and processes them on the society's instructions, as its technology provider.

03Visitor information you record
When you log an entry at the gate, the app records the visitor information the society has asked you to capture. Depending on the modules your society has enabled, this can include:
Visitor name, mobile number and purpose of visit
A photograph of the visitor taken at the gate
The flat or unit being visited and the resident approving the entry
Vehicle type and registration number
Delivery, cab or service provider details
Entry and exit timestamps, and the gate pass or QR code used
This information is collected for the society's security and access-control records. It is visible to the society's administrators and, in a limited form, to the resident being visited. It is not used by 1Socio for any other purpose and is not sold.
Tell visitors what you are recording and why before capturing a photograph or contact number. Do not record more than the society's process requires, and never use visitor details for personal contact.

The app does not read your contacts, call logs or SMS messages. Location, where enabled, is tied to duty and patrol records for your society and is not used to build a profile of you outside duty.

07Storage and security
Data is stored on cloud infrastructure located in India and transmitted over encrypted (HTTPS/TLS) connections.
Guard accounts are limited by role to the gate and society you are assigned to; you cannot see billing, complaint or personal resident records beyond what gate duty requires.
Every entry, approval and alert is attributed to the account that recorded it.
Access to production data by our personnel is restricted, need-based and logged.
If a breach affects personal information held for your society, we will notify the society and, where required by law, the relevant authority and affected individuals.
08Data retention
Your guard profile is retained while your posting is active, and for a limited period afterwards so that past gate entries remain attributable.
Visitor entries, gate logs, patrol scans and alerts are retained for the period the society requires for its security and audit purposes, and for as long as any applicable law requires.
Duty and shift records are retained for the society's attendance and payroll verification needs.
Diagnostic and crash logs are retained for a limited operational period.
09Your choices and rights
Access and correct your own profile details, or ask your supervisor or society administrator to correct them
Withdraw a device permission at any time from your device settings, understanding that gate features depending on it will stop working
Ask for a copy of the personal information we hold about you as a guard
Ask for your guard account to be deactivated and your personal identifiers deleted
Raise a grievance about how your information has been handled
Email contact@1socio.com with the subject "Guard account deletion" to request deactivation and deletion. We will verify your identity and notify the society, since removing a guard account affects gate operations. Visitor entries and gate logs recorded during your duty are the society's security records and are retained by the society; requests to delete those must come from the society.
10Changes to this policy
We may update this policy as the app changes. The revised version will be published at this address with a new 'Last updated' date, and material changes will be communicated in the app or through your society.
